Subscription booking app or your own system: which one pays off?

Five questions that tell you whether a subscription booking app or a custom booking system is the right fit for your business.

There are plenty of good booking apps out there, and for many businesses they really are the best choice. Others spend years paying for something that never quite fits. These five questions help you decide which group you are in.

1. How long have you been in business, and how long do you plan to stay?

If you are just starting, an app is the best way in: you set it up quickly and find out how many bookings you actually get.

If you have been running for years and plan to keep going, add up what the app will cost you over the long run. A monthly fee looks small, but it never ends.

Rule of thumb: the longer you plan ahead, the more a custom system pays off.

2. How often do you say "unfortunately the app can't do that"?

Every app is designed for thousands of businesses, so it comes with compromises. Typical examples:

  • you cannot set the gap between services the way you want,
  • you track passes in a separate notebook or spreadsheet,
  • clients go through steps that make no sense for your business.

If this happens rarely, stay with the app. If you find workarounds every day, that costs time, and time costs money.

3. How much does your own brand matter?

In most apps the booking page carries the app company's design, often its logo, and clients are sent to its website.

A custom system runs on your website, in your colours, and sends reminders in your name. For premium services, where the experience starts with the booking, that matters.

4. Who owns your client list?

Most people do not think about this until it is too late. If an app raises its prices or shuts down, how easy is it to take your client database with you?

In a custom system the data is yours, and you can export it at any time.

5. Do you need something no app offers?

For example:

  • a connection to your invoicing software,
  • a custom pass or loyalty programme,
  • a shared schedule across several locations,
  • special booking rules, such as treatments that need a specific machine.

In those cases a custom system is not a luxury. It is the only way.

In summary

If… then you probably want…
you are just starting, with few bookings a subscription app
the app does everything you need a subscription app
you have run for years and plan long term your own system
you find workarounds every day your own system
your brand and client data matter your own system
